Redefining digital workflows

Substrakt worked with the Royal Shakespeare Company (RSC) to look at the way digital projects are resourced, prioritised and managed. We distilled this complexity into a clear, simple summary of the issues and provided guidance on workflows and corresponding job roles.

The challenge
RSC is a large and relatively complex organisation with many competing digital priorities. Existing workflows and processes were not efficient and were causing issues with the delivering of, in particular, website development work. In addition there were some challenges around how work was briefed and QAed by the team.

The solution
For this work we spoke to key stakeholders, reviewed relevant documents and processes and spoke to other sector leaders about their approach. The outputs of this piece of work were a series of workflow maps (situational analysis & ‘what good looks like’) and a report with detailed recommendations.
Situational analysis of current approach
We undertook consultation with key internal stakeholders, across a range of different departments, reviewed the current processes and identified blockers.
Diagrammatic maps of current and ideal scenarios
Following our consultation and review phase we mapped out, in diagram form, the current approach, marking clearly where issues were being created. We also produced an ‘ideal’ scenario map which provided a suggested approach to working more effectively, including the addition of a key digital role.
Advice and guidance on working more effectively
Alongside the diagrammatics we provided a summary of advice and guidance and presented this back to the key stakeholders.
Through a comprehensive review of workflows, processes and stakeholder input, we helped the RSC tackle inefficiencies in their digital project management. By clearly identifying blockers and providing actionable recommendations, including detailed workflow maps and guidance on key roles, the RSC is now equipped to prioritise and manage digital projects more effectively.
